Parent-led groups like PTOs and PTAs play a huge role in supporting schools, teachers, and students. From fundraising to community building, these groups help make school life better for everyone. But for many parents, the roles and responsibilities can feel confusing or overwhelming, especially for new volunteers.
This guide breaks down the most common PTO and PTA roles so families know how they can help and what to expect.
President
The president helps lead the group and keep everything moving forward. This role is less about doing everything and more about guiding the team.
• Running meetings and setting agendas
• Serving as the main point of contact with school administration
• Supporting committee chairs and volunteers
• Helping set goals for the school year
Vice President
The vice president supports the president and often steps in when needed. This role is great for someone who wants to learn leadership before taking on a larger role.
• Assisting with meetings and events
• Overseeing committees or special projects
• Filling in for the president when needed
Secretary
The secretary keeps everyone organized and informed. Clear communication is key to a successful PTO or PTA.
• Taking notes at meetings
• Sharing meeting minutes with members
• Managing calendars, emails, and documents
• Keeping records organized
Treasurer
The treasurer manages the group’s finances and ensures funds are handled responsibly.
• Tracking income and expenses
• Managing the budget
• Handling deposits and payments
• Providing financial reports to members
Fundraising Chair
This role focuses on planning and running fundraising efforts that support school programs and goals.
• Coordinating school fundraisers
• Working with vendors and fundraising partners
• Communicating fundraiser details to families
• Tracking participation and results
Volunteer Coordinator
The volunteer coordinator helps connect parents with opportunities to help.
• Recruiting volunteers for events and programs
• Managing sign-ups and schedules
• Communicating expectations and reminders
• Thanking and recognizing volunteers
Event or Programs Chair
This role focuses on building school community through events and activities.
• Planning family nights, assemblies, or appreciation events
• Coordinating logistics and volunteers
• Working with teachers and staff on program needs
Communications or Marketing Chair
This role helps keep families informed and engaged.
• Managing newsletters, social posts, or school apps
• Promoting events and fundraisers
• Sharing updates and reminders
Committee Members and General Volunteers
Not everyone needs a title to make a difference. Committee members and volunteers are the backbone of any successful PTO or PTA. They may help with:
• Event setup and clean-up
• Classroom support
• Fundraiser distribution
• Special projects throughout the year
Strong parent groups succeed when roles are clearly defined, communication is consistent, and expectations are realistic. Not every role needs to be filled perfectly as every PTO and PTA is different and most times depend on how many parents are willing to commit to the roles.
When families understand where they fit, it’s easier to build a supportive, organized group that benefits the entire school community.
