PTO/PTA End-of-Year Checklist: Set Up Next Year for Success

As the school year wraps up, PTO/PTA leaders have one more important job: leaving the next team organized and prepared. A little planning now can make next school year much smoother.

1. Review Year-End Finances
Before closing out the year, review your budget and avoid draining the account completely. Leave a reserve balance to cover startup costs, recurring expenses, deposits, and beginning-of-year activities.
Outgoing leaders should also provide:
•    Updated budget reports
•    Account logins and banking access
•    Vendor and fundraising contacts
•    Outstanding expenses or commitments
•    Notes on what worked and what didn't

Strong transitions create accountability and help incoming leaders start ahead—not from scratch.

2. Send Thank-You Notes
Take time to thank the businesses, sponsors, teachers, volunteers, and community partners who supported your school this year.

A quick email or handwritten note goes a long way and helps build long-term relationships for future events and fundraising.

3. Start Planning Next Year Now
Create a running list of ideas while this year is still fresh.
Fundraising ideas:
•    Fun Run or Read-A-Thon
•    Donation-based fundraisers
•    Auctions or family events
•    Product fundraisers through Smencils, Smencil Grams, Tootimals or Smillows

Also jot down top sellers, parent feedback, and event ideas worth repeating.

4. Handle Housekeeping Tasks
Before summer begins:
•    Transfer website, email, and social media access
•    Organize shared folders and templates
•    Save successful flyers and event materials
•    Archive timelines and planning documents

These small tasks save future volunteers hours of work.

5. Conduct a Quick Year-End Review
Ask a few simple questions:
•    What events had the highest participation?
•    Which fundraisers delivered the best results?
•    What caused stress or challenges?
•    What should we stop doing?
•    What should we repeat?

Even a short leadership discussion can provide valuable guidance.

End-of-year planning is not just about checking boxes—it is about creating continuity for future volunteers. The school year may be ending, but the foundation for next year starts now.
