How PTO and PTA Groups Can Attract More Volunteers

Finding volunteers can be one of the biggest challenges for PTO and PTA groups. The good news is that with the right approach, more parents and community members are willing to help than you might think. Here are simple and effective ways to encourage more people to get involved.

Offer a variety of ways to help

Not everyone can volunteer the same way or for the same amount of time. Offer different options so people can choose what works best for them. Some may prefer to donate items like dinner rolls for a teacher appreciation lunch. Others may be happy to help from home by stuffing packets or preparing materials during their free time.

When possible, list how much time each task will take. This helps people see that many opportunities are quick and manageable. Most importantly, recognize volunteers often. Thank them at events, share shout outs in newsletters or on social media, and host simple appreciation moments. People are more likely to volunteer again when they feel valued.

Partner with local high school students

Reach out to nearby high schools and connect with students in programs like National Honor Society, IB, or JROTC who need service hours. These students are often eager to help and can be a huge support for after school events or weekend activities. Many students are happy to return for future opportunities once they get involved.

Create classroom based incentives

Consider offering incentives that benefit classrooms when a parent volunteers. For example, when a parent from a classroom volunteers, that teacher could earn classroom funds or supplies. This encourages teachers to share volunteer opportunities with their parents and helps spread the word more quickly. When teachers and parents work together, participation naturally increases.

Use every communication channel available

Consistent advertising makes a big difference. Work with your school to share volunteer needs across all communication platforms. Use emails, school and PTO or PTA social media pages, text messages, and classroom apps like ClassDojo or similar tools.

Do not overlook offline options. Outdoor signs at school entrances and exits can catch parents’ attention, especially when paired with balloons or eye catching visuals. Flyers are still effective too, and many parents appreciate having something tangible to take home.

Attracting volunteers takes planning, creativity, and consistency. By offering flexible opportunities, recognizing help, partnering with students, and promoting volunteer needs everywhere parents already are, PTO and PTA groups can build a strong and reliable volunteer community that supports the entire school.
